The project Coordinator IV is responsible to provide support to the CVG Quality Vice President and Core Quality Services Vice President. Daily activities include interaction with senior leadership and other high-level contacts both within and outside Medtronic, as well as exposure to sensitive information requiring considerable use of tact, diplomacy, discretion and judgement. Ability to work across multiple functions and take initiative to ensure the needs of the internal and external stakeholders are met. Also, supports some projects and administrative needs for other senior CVG Quality leaders.

Position Responsibilities
• Meeting planning and coordination
• Travel and expense management
• Editing capability (memos, other correspondence)
• Report consolidation
• Responsible for the overall administrative excellence, efficiency and compliance within the team.
• Assists team members with the creation of communication materials via Microsoft PowerPoint in order to communicate team and program progress to other functional groups within and outside the organization and to business unit senior executive staff.
• Supports company mandated training and policy adherence programs within the team.
• Act as an information resource on departmental organizational policies and procedures.
• Multi-task and manage through issues proactively.
• Provide appropriate information to contacts (handle questions, issues and follow ups).
• Apply knowledge of business and department objectives and priorities.
• Ensure personal understanding of quality policy/system items that are applicable to the department.
• Review available information regarding various topics, summarize, and debrief appropriate staff.
• Plan and execute various conferences (in person, virtual, video), coordinate meetings, and organizational strategy planning meetings. Include interaction with staff at location for scheduling, logistics, planning support materials and interfacing with those attending.
• Represent the company through interaction with peers, upper management, suppliers, stakeholders on a frequent basis.
• Use problem solving techniques, tact, and discretion when handling telephone calls, email requests, processing transactions and managing other requests.
• Coordinate administrative duties for the department including ordering supplies as requested and facilities coordination.
• Interfaces with Human Resources in managing the process for hiring, on-boarding and off-boarding employees.

• Education required – high school diploma or GE
• Years of experience – 5+ years administrative experience

• Experience with web-based systems
• Experience with Excel, Word, Outlook and PowerPoint
• Bachelor’s degree
• Ability to manage confidential information with discretion and judgment
• Ability to organize and prioritize work effectively

• Strong analytical skills
• Ability to set priorities and resolve issues independently
• Comfortable with ability to influence others with or without direct authority
• Ability to relate to diverse communities and levels; strong customer service orientation
• Capable of working on multiple projects in a deadline driven environment – demonstrated skill under pressure
• Self-motivated, flexible, quick learner, team player and strong work ethic.
• Demonstrated ability to maintain confidentiality
• Excellent interpersonal and communication skills; verbal and written
• Strong organizational skills and attention to detail
• Ability to multi-task with complex information
• Knowledge of myMedtronic, Expense Express, Visio and other applications
• Ability to create and leverage employee networks
• Understanding of Medtronic’s businesses/organization
• Prior Medtronic experience
• Excellent interpersonal and communication skills; verbal and written
• Ability to independently take a project from beginning to end
• Work well under pressure in a dynamic environment
• Ability to set priorities and resolve issues independently
