We are currently looking for an experienced Executive Administrative Assistant to support the President of our Neuromodulation Operating Unit (OU), and their CFO. This will be an onsite position at our Rice Creek, Minnesota facility.

 

A Day in the Life

 

In this dynamic role, you will work independently and perform complex administrative duties, collaborating across multiple areas within the Neuromodulation OU. You will use your critical thinking skills to make decisions independently with limited interaction with your leaders. You will be expected to be extremely flexible and use high emotional intelligence to manage your daily workload in this nonstructured environment. You will work with a high level of confidential information critical to the business and have exposure to sensitive information requiring use of tact, diplomacy, discretion, and judgement. You will take initiative to ensure the needs of internal and external stakeholders are met. This role will include interactions with high-level contacts, both internally and externally,

 

Responsibilities will include but are not limited to:

 

  • Provide proactive administrative duties including research, meeting scheduling/calendar management, candidate interviews, expense reporting, and ordering supplies and equipment, for three distinctly different business functions within the Neuromodulation OU.
  • Travel arrangements, including comprehensive international travel, supporting individual(s) with extensive travel demands.
  • Administrative support for complex meetings, including audio conferences, video conferences, and other technology.
  • Plan, prepare, and coordinate special meetings including agendas, meeting materials, logistics, action items, travel, and catering.
  • Assist with the development, implementation, and administration of projects and procedures, including presentations to Senior Leaders and key stakeholders.
  • Work with internal and external stakeholders in various global geographic regions.
  • Draft, proofread, and edit your own correspondence, reports, and forms, as well as those of others, ensuring effective cultural sensitivity in titles and names and correct grammar and formatting.
  • Independently identify issues and effectively problem-solve using tact and discretion, relaying reasonable alternatives and recommendations to the OU President and others.
  • Maintain confidential records, files, organizational charts, and email distribution lists.
  • Act as liaison with other Administrative Assistants to share information and develop policies and procedures.
  • Travel as needed – less than 5%

Must Have: Minimum Qualifications

  • High School Diploma or GED
  • 6 or more years of administrative support experience

 

Nice to Have

 

  • Extensive experience with Microsoft Office Applications (Outlook, Word, PowerPoint, and Excel)
  • Experience using Workday
  • Experience with electronic meeting coordination (video conference, phone, and live-online)
  • Experience working under pressure in a dynamic environment with limited supervision
  • Experience exercising independent judgment and discretion
  • Experience managing confidential information

The base salary range is applicable across the United States, excluding Puerto Rico and specific locations in California. The offered rate complies with federal and local regulations and may vary based on factors such as experience, certification/education, market conditions, and location. Compensation and benefits information pertains solely to candidates hired within the United States (local market compensation and benefits will apply for others).
