A Day in The Life
As the Executive Assistant, you will proactively support 3 Directors ensuring that their days run smoothly, coordinating team meetings, events, diary and travel management and triaging their email inboxes. You will liaise with high-level internal and external contacts and have exposure to sensitive information requiring considerable use of tact, diplomacy, discretion, judgment and confidentiality. There will also be the opportunity to identify and implement improvements in business operations, so the chance to get your teeth into a variety of different projects.
Position Responsibilities:
- Providing administration and coordination support to three Business Directors, including diary management, email management, international and domestic travel and expense management
- Organising Directors’ travel and accommodation.
- Coordinating of team meetings, including venue/room bookings and coordination of all Conference Calls – Local / International
- Organising team events, including offsite meetings and conferences
- Event coordination of all business meetings including Quarterly Business Reviews
- Processing commercial invoices (Purchase Orders) through SAP
- Obtaining and Organising information to assist with presentations.
- Assisting in the preparation of presentation slides.
- Providing input in drafting organizational announcements and speeches.
- Maintaining email distribution lists and organizational charts.
- Collaborating with the teams on initiatives and driving continuous process improvements
- Ensuring confidentiality and security is maintained at all times for both physical documents and knowledge.
Must-Have:
- 6 years’ experience in a secretarial or an administration role, for an executive (i.e., Country Director, Managing Director, etc) preferably within a commercial organisation
- Demonstrated administration experience including the support of Executives
- Advanced level of knowledge of MS Office suite software with strong multi-media presentation construction skills.
